Fix · Slow first reply
Reply to every new inquiry within minutes
You'll finish with an instant, useful first reply on the channels that bring you the most inquiries — and fixed times in your day for the real answers.
Goes with lesson 4.2: The first reply · 23 minThe leak
Someone asks about buying from you. If the first thing they hear back comes hours later, many have already asked someone else. You don't need to answer everything instantly — you need them to know, instantly, that a real answer is coming and when.
Before you start
Measure your current reply time. Open your last 10 inquiries. For each one, write down when it arrived and when your first reply went out. Sort the 10 gaps and take the middle one (the median). That's your baseline.
Write the number down somewhere you'll find it in 7 days. Without it, you can't tell whether the fix worked.
Steps
-
List the doors inquiries come through
Contact form, email, phone calls, text messages, social media messages, website chat. Circle the one or two that bring the most inquiries. Start there; add the rest later.
-
Write one instant acknowledgement
It should do three things: confirm you got the message, say when a real answer is coming, and ask the one question you always need answered anyway.
Template · Email or form auto-replySubject: Got it — here's what happens next Hi [Name], Thanks for reaching out to [Business]. Your message is with us, and you'll get a real answer from [person or team] by [time — e.g. "2 pm today" or "tomorrow at 10 am"]. To speed things up: [the one question you always ask — e.g. "what date are you looking at?"] If it's easier, you can book a time directly here: [booking link] [Your name]
Template · Text or chat (short)Hi, this is [Business]. Got your message — [person] will reply by [time]. Quick question so we can help faster: [your one question]?
-
Turn it on for each door you circled
- Email: create a rule that sends your acknowledgement to new inquiries. In Gmail, a filter can send a saved template; in Outlook, a rule can reply using a template.
- Contact form: most form tools can email the person who filled it in. Paste your acknowledgement there.
- Website chat: set the greeting or away message to your short version.
- Phone: if your phone system or carrier offers an automatic text after a missed call, use the short version. If not, record a voicemail greeting that says when you call back.
-
Block reply windows in your calendar
Two or three fixed times a day — for example 10:00, 13:00 and 16:30 — when you answer every open inquiry. Your acknowledgement promises a time; these windows keep the promise.
-
Let ready buyers book without waiting
If people usually end up booking a call or visit, add a booking link to the acknowledgement. Most calendar apps include a booking page (Google Calendar calls it appointment schedules).
How to run it
Check in
After 7 days: repeat the measurement with your next 10 inquiries. Compare the median with your baseline.
After 30 days: measure once more. If the number crept back up, look at which door the slow replies came through and add the acknowledgement there.
